Privacy Policy
Effective Date: June 18, 2026 | Last Updated: October 5, 2026
1. Overview
QualityNeighbor (“we,” “us,” or “our”) operates the website and platform located at qualityneighbor.com (the “Platform”), a digital community hub exclusively serving residents of Hartland Ranch in Lockhart, Texas. This Privacy Policy explains what personal information we collect, how we use it, with whom we share it, and the choices available to you.
By accessing or using the Platform, you acknowledge that you have read, understood, and agree to the practices described in this Privacy Policy. If you do not agree, you must discontinue use of the Platform immediately.
This Privacy Policy does not apply to third-party websites, applications, or services linked from our Platform. We encourage you to review the privacy policies of any third-party services you access through us.
2. Information We Collect
We collect information you provide directly, information generated by your use of the Platform, and limited information from third-party service providers.
2.1 Account and Authentication Information
- Email address — required to create an account. You can sign in with a magic-link email or with Google (OAuth). We do not store passwords.
- Authentication tokens — secure, HTTP-only session cookies issued by our authentication provider (Supabase) to maintain your logged-in state.
2.2 Profile Information
When you complete onboarding you provide:
- Handle (unique username)
- Display name
- Bio / About section (optional)
- Profile avatar image (optional)
- Resident type (Owner, Renter, or Guest)
Public profile information (handle, display name, bio, avatar, and verification status) is visible to other verified residents of the Platform.
2.3 Residency Verification
We do not collect residency documents. There is no utility bill, lease, or government ID to upload — we verify residency by mailing a card to your address and asking you to enter the code printed on it. Receiving mail at the house is the proof.
This means the most sensitive thing an earlier version of this service would have held about you — a scan of a household document — is something we never have. What we keep is the address itself, the fact that a card was issued for it, and whether the code has been used.
The code is not a password and cannot be used to sign in. It is single-use, stored only as a one-way hash, and spent the moment you verify.
2.4 Address and Location Data
- Street address and unit number — required, so we can mail your verification card. Stored privately and never displayed to other residents.
2.5 Marketplace Data
- Listing details: title, description, price, condition, and category for items you post for sale
- Listing images — processed server-side (resized, converted to WebP, and EXIF metadata stripped) before storage
- Private messages between buyers and sellers
- Reports you submit against listings
2.6 Content Submissions
- Articles and stories submitted to the community newsletter (title, body, category, hero image URL)
- Community event submissions
2.7 Advertising Information
- Business name, contact email, phone number, city, service area, service description, and business story submitted when claiming a free or paid advertising slot
- Stripe customer ID and subscription ID for paid advertising subscriptions
- Landing page view and interaction events (click-throughs and page views on business landing pages)
2.8 Communication Preferences
- Newsletter opt-in or opt-out status
- Email digest preferences
- Preferences for transactional notifications (listing messages, article status, ad status, monthly ad numbers)
- Email bounce and complaint status received from our email delivery provider
2.9 Analytics Data
We do not run product analytics. No page-view, click, or session tracking service is loaded. The only automatic collection is the error reporting described in §2.10 and the request logs our hosting provider keeps (§4.1). The counts we keep ourselves are how many times a sponsored ad was shown on the homepage, how many times each article was opened, and, on an advertiser's landing page, how many times it was viewed and how many times its main button, phone number or offer code was tapped. Each count records the ad, the article or the page and the time, not the reader: no IP address, device or account is stored with it. An advertiser sees the totals for their own page. An article's heart count is the number of verified residents who favorited it; who they are is not shown.
2.10 Error and Diagnostic Data
We use Sentry to automatically capture application errors. Error reports may include browser type, operating system, page URL, and a stack trace. Error reports do not intentionally include sensitive personal data but may incidentally capture information present on the page at the time of the error.
2.11 Technical and Device Data
- IP address (processed by Supabase and Vercel infrastructure)
- Browser type and version
- Device type
- Referring URL
- Pages visited and time spent
- Theme preference stored in your browser’s local storage (light/dark mode)
2.12 Administrative and Audit Data
All administrative actions (approvals, rejections, account changes) are logged with a timestamp, the acting administrator’s identity, and before/after snapshots of affected data. These logs are used for accountability and are accessible only to QualityNeighbor administrators.
3. How We Use Your Information
We use the information we collect to:

- Verify that you are a resident of Hartland Ranch

4. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. We share information only in the following circumstances:
4.1 Service Providers
We use the following third-party service providers who process data on our behalf:
4.2 Other Residents
The following information is visible to other verified residents of the Platform:
- Your handle, display name, bio, and avatar
- Your verification status (verified/unverified)
- Marketplace listings you have published
- Articles and community content you have submitted and that have been approved
- Events you have posted
- Public business advertising landing pages
Your handle and bio are also public: they appear as the byline on any article you publish and on your author page at /by/your-handle, which anyone can read without signing in. Your display name is not shown there.
Your email address, physical address, verification code, and private messages are never displayed publicly to other residents.
4.3 Legal and Safety Disclosures
We may disclose your information if we believe disclosure is required or permitted by law, including to comply with a subpoena, court order, or other legal process; to protect the rights, property, or safety of QualityNeighbor, our users, or the public; or to investigate fraud or security incidents.
4.4 Business Transfers
If QualityNeighbor is involved in a merger, acquisition, asset sale, or similar transaction, your information may be transferred as part of that transaction. We will notify you of any such change by posting a notice on the Platform.
5. Cookies and Local Storage
5.1 Authentication Cookies
We use secure, HTTP-only cookies issued by Supabase to maintain your authenticated session. These cookies are strictly necessary for the Platform to function and cannot be disabled without preventing you from logging in. They do not track you across other websites.
5.2 Browser Local Storage
We store your theme preference (light or dark mode) in your browser’s local storage under the key qn-theme. This data never leaves your device and is not accessible to us.
5.3 No Third-Party Tracking Cookies
We do not use Google Analytics, Facebook Pixel, or any other third-party advertising, analytics, or cross-site tracking cookies.
6. Data Retention
We retain your information for as long as your account is active or as needed to provide the Platform’s services, subject to the following:
- Account and profile data: retained for the life of your account. Upon confirmed deletion, we will remove your personal data within 30 days, except where retention is required by law or for legitimate business purposes (such as resolving disputes or preventing fraud).
- Marketplace listings and messages: retained while your account is active. A listing leaves public view 30 days after posting and stays in your account until you delete it. When you delete a listing, the listing, its photos, and its messages are removed from our systems immediately.
- Payment records: Stripe transaction records are retained by Stripe in accordance with their data retention policy. We retain only Stripe customer and subscription IDs, which are removed upon account deletion.
- Error logs (Sentry): retained for up to 90 days per Sentry’s default retention policy.
- Admin audit logs: retained for a minimum of 12 months for accountability and dispute resolution purposes.
- Email delivery records (Resend): retained for a period determined by Resend’s data retention policy.
7. Your Privacy Rights and Choices
Depending on your jurisdiction, you may have the following rights:
7.1 Access and Portability
You may request an export of the personal data we hold about you. Submit a data export request from your account settings page. We will process your request within 30 days.
7.2 Correction
You may update your display name, bio, and avatar directly in your account settings. If you believe other information we hold is inaccurate, contact us using the information in Section 13.
7.3 Deletion
You may request deletion of your account and associated personal data from your account settings page. We will process your request within 30 days. Note that some information may be retained as described in Section 6, and content you submitted that has been incorporated into the published community newsletter may remain in archived newsletter editions.
7.4 Opt-Out of Analytics
You may opt out of analytics data collection at any time by toggling the analytics opt-out setting in your account profile. The opt-out is stored in your account and persists across devices and sessions.
7.5 Email Preferences
You may manage your email notification preferences from your account settings, including opting out of the community newsletter, digest emails, and transactional notifications. Note that certain transactional emails (such as sign-in magic links and critical account notifications) cannot be disabled as they are necessary for Platform operation.
7.6 Your Verification Record
There is no residency document to delete — we never collect one. What exists is your address, the record that a card was issued for it, and the one-way hash of a code that has already been spent.
Deleting your account removes that record along with the rest of your data. The house ID slot then returns to the pool for whoever lives there next.
7.7 California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect, the right to delete personal information, and the right to opt out of the sale of personal information. We do not sell personal information. To exercise your CCPA rights, contact us using the information in Section 13.
8. Data Security
We implement reasonable and appropriate technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, and destruction. These measures include:
- Row-Level Security (RLS) policies on all database tables, ensuring users can only access their own data
- Passwordless authentication — sign-in is via magic-link email or Google OAuth; we never store passwords
- Secure, HTTP-only session cookies with SameSite protections
- Private storage bucket for marketplace photos, writable only by the listing's owner
- Signed, time-limited URLs for accessing private stored files
- EXIF metadata stripping from all uploaded images before storage
- Server-side validation of file types and sizes for all uploads
- Webhook signature verification for all payment events received from Stripe
- Encrypted connections (HTTPS/TLS) for all data in transit
- Principle of least privilege for administrative database access
Despite these measures, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security of your information. If you believe your account has been compromised, contact us immediately using the information in Section 13.
9. Children’s Privacy
The Platform is intended exclusively for adults (18 years of age or older) who are residents, renters, or guests of Hartland Ranch. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will delete that information promptly. If you believe a child under 13 has provided us with personal information, contact us using the information in Section 13.
10. Third-Party Links and Services
The Platform may contain links to third-party websites, resources, or services (including local businesses, community organizations, and government resources). We are not responsible for the privacy practices of those third parties, and this Privacy Policy does not apply to them. We encourage you to review the privacy policies of any third-party sites you visit.
Business landing pages hosted on the Platform may display contact information and links to third-party business websites. Interacting with those businesses is solely between you and that business.
11. Disclaimer of Warranties
THE PLATFORM AND ITS CONTENT ARE PROVIDED ON AN “AS IS” AND “AS AVAILABLE” BASIS WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. QUALITYNEIGHBOR DOES NOT WARRANT THAT THE PLATFORM WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE, OR THAT ANY DEFECTS WILL BE CORRECTED.
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, QUALITYNEIGHBOR DISCLAIMS ALL LIABILITY FOR ANY UNAUTHORIZED ACCESS TO OR ALTERATION OF YOUR DATA, ANY CONTENT OR DATA SENT OR RECEIVED, AND ANY TRANSACTIONS ENTERED INTO THROUGH THE PLATFORM.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the “Last Updated” date at the top of this page and, where required by law, provide additional notice (such as an email notification or a prominent notice on the Platform). Your continued use of the Platform after any update constitutes your acceptance of the revised Privacy Policy.
We maintain a record of the privacy policy version you accepted at the time of account creation, stored alongside your account information.
